Jewelry software vs Excel and ledger registers

Most jewelry shops still run on a calculator, an Excel sheet and two or three registers. They work, until the rate moves twice in a day or a balance doesn’t match. Here is what changes, job by job.

The short answer: Excel and registers cost nothing extra but make you type everything at least twice and check it by hand. Smart Jewelry POS records each sale once and updates stock, the customer and supplier ledgers, the till and the reports from it, priced from today’s gold rate.

The hidden cost

What a spreadsheet can’t protect you from

One wrong cell

A formula dragged one row too far, or a rate typed as 34,735 instead of 34,375, and every price after it is wrong.

Everyone can edit everything

Spreadsheets have no roles. Anyone with the file can change a past bill or a balance, and nobody knows.

One copy, one laptop

A spilled cup or a stolen laptop can take years of ledgers with it. Registers burn and fade.

Nothing connects

The sale, the stock sheet, the ledger book and the cash book are separate. Each one is typed again, and they drift apart.

Fair to Excel

When a spreadsheet is still fine

If you sell a handful of pieces a week, don’t give credit, don’t work with vendors and the owner does every sale, a well-kept sheet can be enough. The moment staff sell for you, customers buy on credit or gold goes out to a vendor, the sheet stops being the record and becomes one more thing to reconcile.

Questions

Excel vs jewelry software FAQ

Is Excel enough for a jewelry shop?

For a very small shop it can work, but every price is calculated by hand, rates are updated by hand, and the stock sheet, ledger book and cash book are typed separately. As the shop grows, errors and reconciliation time grow with it.

Can I import my Excel stock sheet?

Yes. Copy your stock into our import template, or send us your sheet and we’ll help. Rows are checked against your categories, metals and karats before anything is created, and photos are matched by SKU.

Can I bring my old ledger balances across?

Yes. Customer and supplier balances go in as opening balances, so the system starts with the right figures and every new entry posts from there.

What does it cost compared with Excel?

Excel is usually already on your computer. Smart Jewelry POS costs $7 a month for one store, with every module included and the first 5 days free.
