Jewelry inventory with a barcode tag on every piece

Every piece gets a SKU and a barcode tag that carries its weights. Scan it at the counter, in the safe or during a stock count and see exactly what it is, where it is and what it costs today.

Jewelry inventory software tracks stock by what each piece is made of, not only by count. In Smart Jewelry POS every product records its category, metal, karat, gross and net weight, stones, wastage, making, photos and shelf location, and gets a SKU and printable barcode tag so it can be found and sold by scanning.

What every product holds

More than a name and a price

Metal & weight

Metal, karat, gross weight and the derived net, wastage and chargeable weight.

Stones

Every stone by type, pieces, weight in carats or grams, and rate per carat, per piece or total.

SKU & category

Automatic SKUs that start with the category code, or your own numbers if you prefer.

Store & location

Which branch and which shelf, tray or safe it is in, and whether it is in stock or sold.

Photos

Up to 10 photos per product, with a close-up mode that uses your phone’s own camera app.

Supplier

Which supplier or vendor it came from, so their ledger and your stock always agree.

Labels

Tags that print at the exact size

Labels are built as a PDF measured in millimetres, so the tag that prints is the size you set, with no browser scaling. Choose a rectangle, a dumbbell (barbell) tag for rings and pendants, or a fold-over flag, and pick what prints: gross, net, wastage and chargeable weight, stone details, making and your shop name.

New stock lands in a Pending Labels queue, so at the end of the day you print every tag that hasn’t been printed yet in one go.

  • Rectangle, dumbbell or flag tags, any size in mm
  • Code 128 or Data Matrix barcodes
  • Choose which weights and stone details print
  • Pending Labels queue and bulk printing

Scanning

Scan to find, scan to sell

Quick Lookup is a scan-first screen for the whole team. Scan a tag with a USB scanner or the phone camera and the piece opens with its weights, stones, photos, location and today’s estimated price. On an invoice, scanning adds the piece to the bill.

If the internet drops, stock you’ve already synced stays searchable on the device.

Sets, pairs & bulk

Jewelry-shaped stock rules

A pair of earrings is one article with two pieces, and its weight is the pair’s weight. A row of identical machine-made chains uses quantity instead, and selling some of them simply lowers the count.

Group pieces into a set that sells as one item. If a customer wants only the necklace from a bridal set, Break Set splits it off with its own weight and stones, and the set updates.

  • Pieces describe a pair or set, never multiply
  • Quantity for identical items, sold down from stock
  • Sets with every piece’s details kept
  • Break Set for a partial sale

Getting stock in

From spreadsheet to tagged stock in an afternoon

  1. Fill the template

One row per piece: category, metal, karat, gross weight, wastage, making and up to three stone groups.

  2. Add photos

Zip your photos named by SKU. They are matched and uploaded with the rows.

  3. Review

Every row is checked against your categories, metals and karats before anything is created. Fix rows in place.

  4. Import & print

Products are created in batches and queue for their tags, ready to print.

Questions

Inventory & tags FAQ

What label printers and tag shapes are supported?

Labels are produced as a millimetre-exact PDF, so any label printer that prints from your computer works. You set the size and choose a rectangle, dumbbell (barbell) or flag tag, with a Code 128 or Data Matrix barcode.

Can I scan tags with a phone instead of a scanner?

Yes. Quick Lookup accepts a USB or Bluetooth barcode scanner, or uses the phone’s camera to read the tag. It opens the piece’s weight, stones, location, status and current price.

How do I bring in my existing stock?

Download the Excel template, fill in your products and upload it with a ZIP of photos. The app checks every row, shows what needs fixing before anything is created, and matches photos to products by SKU. Our team can help with large imports.

How are sets like a bridal set or six bangles handled?

Group pieces into a set that sells as one item while each piece keeps its own weight and stones. If a customer wants only part of a set, Break Set splits those pieces off with their weight and stones.

What is the difference between pieces and quantity?

Pieces describes what is inside one article, such as two earrings in a pair, and never multiplies weight or price. Quantity is for identical articles on one row, such as machine-made chains, and does multiply.
