Gemstone and diamond inventory, stone by stone

Diamonds, emeralds, rubies and kundan each get their own line on the piece: type, pieces, weight and rate. Their weight comes off the gold automatically and their value shows on the tag, the bill and the stones report.

Diamond · 1 pc · 0.70 ct$1,200 total

Ruby · 2 pcs$12 / pc
Stone weight off the gold0.212 g

Gemstone inventory software records each stone set in a piece, not just the piece’s total price. In Smart Jewelry POS every stone line holds its type, pieces, weight in carats or grams and its rate per carat, per piece or as a total, in its own currency, so stone value and stone weight are both exact.

Carats or grams

Enter each stone in the unit you weigh it in. Carats convert at 1 ct = 0.2 g when they come off the gold.

Three ways to price

Per carat, per piece or a total amount, chosen per stone line and adjustable on the invoice.

Any currency

Price a diamond in one currency and the rest in another. Estimate on the bill at your stored exchange rate.

Weightless stones

Kundan or small set stones with no weight, priced as a total or per piece, deduct nothing.

Supplier stones

Mark stones the supplier provided so their cost is owed to them, in its own currency.

On tags and bills

Print stone details on the tag, and list precious stones on their own lines under the piece on the invoice.

Stones Inventory report

Know what is locked in your stock

See total carats and grams of stones in current stock by type, kept separate rather than converted, with precious stones first. Values in another currency are listed in that currency, never mixed into your home currency, which makes it a useful report for insurance and audits.

Questions

Stone & diamond inventory FAQ

How are stones recorded on a piece?

Each stone line has a stone type, number of pieces, weight in carats or grams, and a rate per carat, per piece or as a total. A ring with a centre diamond and twelve side stones carries both lines, and both are subtracted from the gross weight.

Can I price a stone in US dollars?

Yes. Each stone can have its own currency. On an invoice the price can be estimated at your stored exchange rate, and the supplier is owed in that currency on their own cash account.

What if a stone has no recorded weight?

Weightless stones, such as small kundan or cubic zirconia set in, can be priced as a total or per piece. They deduct nothing from the gold weight.

Can I see how many carats I hold?

The Stones Inventory report totals carats and grams in current stock by stone type, with precious stones listed first and foreign-currency stone values shown in their own currency.
