Wholesale invoicing in pure gold

Trade buyers don’t pay for gold in cash. Tick Wholesale on an invoice and the gold is charged in pure grams on the buyer’s own labour/kaat terms, with only making and stones billed in cash.

Wholesale jewelry invoicing charges a trade buyer for gold by weight rather than price. Smart Jewelry POS works out each line’s pure grams from net weight, wastage and the buyer’s labour/kaat scheme, debits that weight to the buyer’s metal ledger for that metal (gold, silver or palladium), and bills only making, other charges and chosen stones in cash.

How it works

The same invoice, a different settlement

Wholesale is a checkbox on a normal invoice. Scan the pieces as usual; every line recalculates in pure grams.

  1. Pick the buyer

A named trade customer. Their default labour/kaat scheme fills each line and can be changed per line.

  2. Scan the pieces

Net weight and wastage come from the piece; labour/kaat turns it into pure grams.

  3. Choose cash items

Making and other charges are in cash. Tick which stones to charge; the rest are treated as the buyer’s own.

  4. Finalize

Stock is marked sold, pure grams post to the metal ledger per metal, cash to the customer ledger.

Customer labour/kaat schemes

Each buyer’s terms, saved once

Give every trade buyer named labour/kaat schemes in ratti, per 10 g or percent, as In or Out, with one default. The terms are copied onto each invoice line when it is saved, so editing a scheme never changes past invoices.

  • Several schemes per buyer, one default
  • Override the scheme on any line
  • Wastage in %, grams or ratti per tola still available
  • Pure weight per metal for multi-metal sets

The buyer’s gold account

Gold owed, gold received, on one ledger

Each buyer has a metal account per metal type, in pure grams. Wholesale invoices debit it; metal the buyer brings in credits it, with its own labour/kaat on the receipt. If you track raw metal, the gold received goes into your stock at the weight you actually received.

Voiding a wholesale invoice reverses both the gold and the cash entries. Statements show cash and gold together for any period.

Questions

Wholesale invoicing FAQ

What is a wholesale jewelry invoice?

A bill to a trade buyer where the gold is charged in pure grams instead of money. In Smart Jewelry POS the buyer is debited the pure weight on their metal ledger, and only making, other charges and any stones you choose to charge are billed in cash.

How is the pure weight worked out?

Net weight (gross minus stones) plus wastage, then the buyer’s labour/kaat scheme in ratti, per 10 g or percent, In or Out. Each line keeps its own terms, and the result is rounded once at the end.

Can I bill silver wholesale too?

Yes. A silver line debits its pure-silver weight to the buyer’s silver balance, kept separate from gold, so 925 sterling is charged at the silver it actually contains. Palladium works the same way.

How does the buyer pay?

Not on the invoice. The gold goes to their metal ledger and the cash part to their cash ledger. They settle by bringing metal, which is credited with its own labour/kaat, or by paying cash against the customer ledger.

Are wholesale sales mixed into my retail reports?

No. Wholesale invoices are kept out of retail sales, tax, profit and salesperson reports and have their own Wholesale Sales Register, so retail figures stay clean.

Who can create wholesale invoices?

Wholesale is switched on in settings, and only managers and owners can create or edit wholesale invoices. They always need a named customer, never walk-in.
