A customer ledger that posts itself

Every sale on credit, every part payment, every bit of old gold bought, on one passbook per customer that writes itself. Know who owes what, in money and in grams, and since when.

A customer ledger is the account of credit between a jeweler and each customer. Smart Jewelry POS keeps it as a passbook with a running balance: finalized invoices add to it, payments and old gold bought reduce it, voids reverse their own entries, and aging shows how long each unpaid invoice has been waiting. Beside the cash balance, each customer can carry a metal account in pure grams for every metal you trade: gold, silver (including 925 sterling) or palladium.

What posts by itself

Nobody writes in the ledger by hand

Invoices

Finalizing an invoice adds its total. Whatever is paid on the spot comes straight off.

Payments

Later payments by cash, card, bank transfer or cheque reduce the balance and show on the invoice.

Old gold bought

Buying gold from a customer credits their account, ready to set against their next purchase.

Voids

A voided invoice or payment adds a matching reversal entry. Nothing is deleted, so the history stays honest.

Credit applied

Credit a customer already holds can be used at checkout on their next invoice.

Manager adjustments

Opening balances and corrections are manager-only and need a reason, so every change is explained.

Aging

Know who to call this week

Every customer’s unpaid invoices are bucketed by age: 0–30, 31–60, 61–90 and over 90 days. The Customer Aging report does it for the whole business, and the weekly aging digest lands in the owner’s inbox.

The Customer Balances report shows the other side too: customers the shop owes money or gold to, kept separate so the two never net out by mistake.

Metal accounts

Gold owed in grams, beside the cash

Trade customers often owe gold, not money. Each customer can carry a metal account in pure grams for gold, silver or palladium, debited by wholesale invoices and credited when they bring metal in. Labour/Kaat on a receipt can be in ratti, per 10 g or percent: 10 g at 1 ratti credits 10.104 g.

If you track raw metal, the gold received also goes into your stock at the weight you actually received.

  • Gold, silver and palladium accounts, in pure grams
  • Metal receipts with labour/kaat in ratti, per 10 g or %
  • Both on one statement

Statements & slips

Paperwork your customer can keep

Print a statement for any period (this month, last 3 months, this year, all time or custom dates) with the cash and gold ledgers you choose, opening and closing balances, and optional signature lines. It is worded for the customer: “Balance due”, “Credit balance” or “Settled”.

After any payment or receipt, print an A5 slip showing the entry and the balance after it.

Questions

Customer ledger FAQ

What is a customer ledger in jewelry software?

It is the running account of what each customer owes the shop, or the shop owes them. In Smart Jewelry POS it posts itself from invoices, payments, old gold bought and voids, and shows a running balance like a passbook.

Can I see who is overdue?

Yes. Aging groups each customer’s unpaid invoices into 0–30, 31–60, 61–90 and 90+ days, on their account and in the Customer Aging report across all customers.

Can a customer owe gold instead of money?

Yes. Alongside the cash ledger, each customer can have a metal account in pure grams for each metal: gold, silver or palladium. Wholesale invoices debit it and metal the customer brings in credits it, with labour/kaat if you apply it.

Does the customer ledger work for silver?

Yes. Silver has its own metal account in pure grams, kept separate from gold, so a customer can owe you gold and silver at the same time. A 925 sterling piece counts at its pure-silver weight. Palladium works the same way.

How do I give a customer their statement?

Open their account and click Statement. Choose a period, tick the cash and gold ledgers to include, preview and print. Each entry can also be printed as an A5 slip.

What if a customer sells me old gold and buys something the same day?

The old gold credit and the new invoice share the same customer ledger, so the customer pays only the difference. A manager can also settle a specific invoice against a specific gold purchase.
