Repairs and custom orders, tracked from counter to collection

A ring to resize, a chain to solder, a bridal set made to order. Smart Jewelry POS gives the workshop its own desk: every item logged on the way in, tracked through each stage and billed or stocked on the way out.

Jewelry repair tracking records every item a customer leaves with you: what it is, what it weighs, which stones it has and what work was agreed, with a printed token and a dated history. Smart Jewelry POS does the same for custom orders, which end as a new piece in stock rather than a service bill.

Repairs

No more “where is my ring?”

At intake, log the customer, describe and weigh the item, note its condition, record its stones and take photos, so nothing is disputed later. Print an intake receipt with the job number and promised date, and a tag that stays with the item.

Add services such as resizing, polishing or plating with their prices, take an advance if you like, and do the work in-house or send it to a vendor. On delivery the job is billed through a normal invoice, less the advance, and a delivery slip records who collected it.

Intake receipt

Job number, item, promised date and advance, for the customer to keep.

Job tag

Stays with the item through the workshop, one per item on multi-item jobs.

Delivery slip

What was done, what was charged and who collected it.

Custom orders

From a photo to a piece in the case

Capture what the customer wants from their own design, a photo or an existing piece: category, metal, karat, estimated weight and the stones they want. Take one or more advances, assign a vendor and follow the order on a table or a Kanban board.

When it’s ready, enter the piece as actually made. It becomes a normal product with its real weight and stones, and the vendor’s gold settles on their own labour/kaat scheme using that delivered weight.

Questions

Repairs & custom orders FAQ

How do I track jewelry repairs?

Log the item at intake with its weight, stones, condition and photos, print the customer a token with the job number and promised date, then move the job through quoted, approved, in progress or at vendor, and ready. Every change records who made it and when.

How are repairs billed?

On delivery the job becomes a normal invoice for the services and materials, less any advance taken at intake, so repairs appear in your sales, tax and cash reports.

What happens when a custom order is finished?

At delivery you enter the piece as actually made, its real weight, metal and stones, and it becomes a normal product in stock, ready to tag and sell to the customer who ordered it.

Can I take an advance on a custom order?

Yes. Record one or more deposits against the order. They are tracked on the order and the customer’s account until the finished piece is sold.

Can repairs be logged without internet?

Yes. Repair intake and edits work offline and sync when the connection returns. Status changes and billing need a connection.
